Outline the internal and external steps involved in submitting system design requests for the free process, which requires manager approval

Internal-External Process

  • Sales Rep Requests System Design Support During Creation of the Deal 
    • Do NOT book directly through the design engineer's calendar, a Deal must be created
    • The Deal Name should NOT have "New Deal" in it, there should be a Unique Deal Name
    • See Example:

  • Create the Deal
    • Once created, on the middle column, select the service projects tab
    • From here select, "Design Support Needed?" = Yes

  • An Email Invite will Automatically be Sent to the Contact Associated with the Deal by a Workflow 
    • If the Contact did not get the Invite, Please Reach out to the CRM Specialist to verify the Contacts Status and Manually Re-Enroll
    • If your Contact deleted the Original Scheduling Email, Reach out to the CRM Specialist
    • CRM Specialist will Confirm the Email has been Sent and the Process will Continue
  • Customer will Receive an Email to "Schedule your System Design Layout Meeting" 
    • Sales Rep and Admin will receive notice of email send
    • The Customer will Click the Email CTA which will take the Customer to the Design Engineers Meeting Link
    • The Customer will choose from the Available Time Slots
    • The Customer will then Complete the Design Inquiry Form on the Meeting Link
    • When Completed, the Customer will Receive an Invitation to the Meeting
      • Sent via Dialpad
  • The Meeting will be added to the Design Engineers Calendar via Dialpad / Google Calendar
    • To avoid double notifications, turn off notification in Dialpad Meetings settings 
  • An Email will be sent to the Contact Owner (Sales Rep) and the Design Engineer Confirming the Meeting Status and Details

IMPORTANT STEP

Sales Rep will Reach out to Dealer for Related Design Files and Upload them to the Deal Record 

DO NOT Send Files to Design Engineer 

 

Design Engineer Process

  • Design Engineer will Conduct System Design Consultation Meeting
  • When the Consultation has been Completed, the Design Engineer will make two Property Updates
    • The Meeting Outcome
      • Locate the Meeting Event on the Contact or Deal Record on the Activity Tab, be sure Meetings are Selected in the Filter Activity
      • Select Actions > Edit > Outcome 

      • When in the Editing Page, Update the Meeting Outcome and Save Selection
        • This is for Reporting Purposes 
    • Consultation Completed! Property
    • Estimated Completion Date Property
    • This is Located on the Service Projects Tab on the Deal Record in the System Design Information Section
        • Update this Property to Yes and Save Selection

        • This will Trigger an email to the Rep letting them know the meeting is complete and will include the estimated completion date for the Design Files
  • Design Engineer Works on Design and Adds Files to Google Drive
  • Add Google Drive Link(s) to the Design File Properties in the Service Projects Tab on the Deal Record 
    • The Section is Labeled Completed Design Files
    • There are 3 Fields to Utilize if Necessary 
      • Always Start with #1 
      • If more fields are needed, Please Reach out to the CRM Specialist
      • Save Selections

  • Update, "Design Completed!" Property to Yes
  • Update "Design Completion Date" property
  • When Design Completed Property is Yes, a Workflow will Trigger to Send the Information in the Design File Properties to the Sales Rep
    • Then a few minutes later, to the Customer
      • If there is only one Design File the other bullet points will be left blank
  • Design Engineer will add the Bill of Materials to the Deal based off the Design
  • If the Design Engineer has at least 1 of the below cases then they would communicate those in the "Special System Configuration Request" Property
    • Wireless Point-to-Multipoint Systems (not the Wireless 1-1 Kits) 
    • RAID HDD Configurations for Recorders
    • Customized NEMA Orders (not the standard NEMA Setup)
      • Be sure to Save the information you add to that property
      • This is located on the Left Hand Column of the Deal Record as shown below
