How the Dealer Access to the Price Sheet Works

Purpose: This guide outlines what happens when a dealer is granted access to our gated Price Sheet Article via HubSpot. It's designed to help Sales Reps understand what the dealer will experience so that you can support the effectively

When Leadership sets the property, "Price Sheet Access" = Yes on a contact record, it automatically enrolls that contact into a HubSpot Workflow

📲Dealer Receives a Heads-Up Email from You

As soon as the workflow is triggered, you (the contact owner), send the dealer a personalized email to give them a heads-up before they receive the automated registration email.

❗Why this Step Matters❗

• This is a new process, and most dealers don't yet know we're offering digital access to the price sheet.
• The HubSpot System email that follows comes from noreply@icrealtime.com , which could be overlooked or seem suspicious without context

Sending a quick email from you first ensures they: 

• Understand what's coming
• Recognize the registration email when it arrives
• Feel supported by their rep, not just by an automated system

Subject: Your IC Realtime Price Sheet Access - What to Expect

From: [Sales Rep Name]

⌛Three Hour Delay & Access Activation

After the Sales Rep email is sent, the workflow includes a 3-Hour Delay to give the dealer time to read your message before anything automated comes from the system.

Once that Delay is Complete, the workflow will:

• Update the contact's Content_Membership  property by adding the value, "Price Sheet"
• This update grants the contact access to the gated price sheet article

📩Dealer Receives Automated Registration Invite

The dealer will then receive a system - generated email from noreply@icrealtime.com with the subject:

"You've been given access to content at pages.icrealtime.com"

This email allows them to:

• Set a password
• Gain access to the Price Sheet article

• No manual login links are needed - setting the "Price Sheet Access" field to Yes triggers everything automatically
• If your dealer doesn't see the registration email within 24 hours, have them:
