Adding and Removing Users from HubSpot

Goal: Provide guidance to HubSpot administrators on effectively managing users within the HubSpot platform.

Create HubSpot User 

1. In the top right of your HubSpot, click on the settings icon.

2. The page will open up to your general settings, you will then navigate to the left column and select, "Users and Teams" Screenshot 2024-03-12 at 9.58.30 AM

3. On the Users and Teams page you will see a button on the right side of the page that says, "Create User" Screenshot 2024-03-12 at 10.03.18 AM

4. On the following page there will be a field to input the new users email address. Add this then hit next.Screenshot 2024-03-12 at 10.17.12 AM

5. Continue to set up user access, you will select "Use a Custom Permission Set" Screenshot 2024-03-12 at 10.19.52 AM

6. Be sure to click the drop down to select a specific custom permission set, in this case we are adding a new Sales Executive, "Sales Team Permission Set" will be the proper permission setting. Proceed to the next page. Screenshot 2024-03-12 at 10.20.20 AM

7. You will then be able to send an email invite to your new HubSpot user! When it has successfully sent you will be brought to this page

8. You will then need to go into each drop down, send an invite link if you didn't automate it, add your new user to a team, and set the user up with presets. Screenshot 2024-03-12 at 10.39.19 AM

9. For this scenario, we are going to add the user to the Sales Executive Team as well as Sales Executive Presets. Then click done. Screenshot 2024-03-12 at 10.39.56 AM

Have your new user accept the emailed invite and login and they will have access to their HubSpot account!

11. Under the "Access" tab, change the current view permissions to "Sales Permissions"Screenshot 2024-03-12 at 11.19.47 AM12. Under the Setup tab, you will be able to select preset and teams. Be sure these preferences are aligned with your desired specifications.

Instruct user to then go to their general preferences to add in their email and calendar

Add Employee to ICRealtime Employee Hub Record

  • Search for Company Record "ICRealtime Employee Hub"

  • On the right hand column of the company record select "Add" in the contact section

  • Create new contact 

    • Add in the First & Last Name
    • Email
    • Phone Number
    • Job Title
    • Set Contact Owner to Sam Wenger
    • Lifecycle Stage = Active Employee
    • Lead Status = Employee
    • State/Region
    • Birthday
    • Birth Date
    • Birthday Month
    • Address
    • Closest Office Hub
    • Department

Deactivating and Reactivating HubSpot Users:

2. Select Users and Teams in the right column of the settings page

3. Select the user you are wanting to deactivate/reactivate, this will bring you into their user page, click "Actions" in the top right corner, then "Deactivate/Reactivate User"Screenshot 2024-03-12 at 3.15.04 PM

Deactivating HubSpot User

1. This will then give you the option to keep or remove the paid seat and deactivate the user.

Please Note: When deactivating a HubSpot user, user will not be able to login, however, their profile will remain in the account incase it needs to be reactivated.

Reactivating a HubSpot User

1. Select the "Reactivate User" button on the actions drop downScreenshot 2024-03-12 at 3.35.47 PM

2. Then in the box that pops up, select "Reactivate user"Screenshot 2024-03-12 at 3.36.00 PM

Once this is complete and the use is once again active they will be notified and set permissions will return

Removing a HubSpot User

1. Begin by going clicking the settings icon, then users and teams in the left column of the page, this will bring you to your User tabScreenshot 2024-03-12 at 4.55.50 PM

2. Look for the User you are removing and select the box to the left of their name

3. Navigate to the top of the chart with your users and select, "Remove from account" Screenshot 2024-03-12 at 4.31.21 PM

Please note: When removing users they will no longer be able to log in and their user profile will be deleted from the account. 

Add email signature to your user profile

1. Navigate to the Settings Icon, in your general preferences select the email tabScreenshot 2024-03-12 at 5.05.53 PM

2. Select the "Edit Email Signature" link under configureScreenshot 2024-03-12 at 5.07.55 PM

3. Select the HTML tab, this box will be blank if no signature has been added yet.

4. Below is the HTML code that needs to be added into that box. You will need to edit the bolded text according to your name, email, LinkedIn Profile, Default Meeting Link and job title.
