Inactive Line Item Workflow
Goal: Understand the Process for alerting Operations and Sales Representatives when an Inactive Line item is included in a Deal or Quote.

Internal Email Notifications:
To be able to receive Emails and Notifications for Workflow Processes you must turn on the Notifications in Settings
Follow the Steps Below
- Navigate to Settings in the Top right corner of the HubSpot browser

- Once in Settings, Select Notifications on the left hand side
- When you select this you will automatically be on the Email tab, as seen below

- Scroll to the bottom of the Email Page and Expand the Workflow Section
- The Top Option is the only one that needs to be selected
- Select "Custom Notification from Workflows Tool" as seen below

How it Works:
- A Deal Enrolls into this Workflow when an Inactive Line Item is added
- The Workflow will Check:
- If the Deal is one of Opportunity/Project Discussion or Quote Provided Deal Stages
- If the Deal is in the Order Processing Pipeline
If Deal is Opportunity/Project Discussion or Quote Provided Stage:
- An Internal email will be sent to the Deal Owner notifying them of the Inactive Line Item and to Please make Necessary Changes

If Deal is in the Order Processing Pipeline:
- The Operations Team will Receive an informative Internal Email Notification and that the Sales Rep will be Notified of this (See Example of Content Below)
- The Deal will then move to the Sync Failure Deal Stage in the Order Processing Pipeline
- A 1 Minute Delay will Occur
- An Internal Email will then be sent to the Sales Rep to notify them of the Inactive Line Item (See Email Content Below)

- There will then be a 5 Minute Delay
- If the Deal Remains in the Sync Failure Deal Stage a Task will be created and assigned to the Deal Owner to make necessary updates

- If the Deal No Longer Contains Inactive Line Items the Deal will be moved back to Pending Processing
Why is this Important?
This is important because it streamlines communication between the Operations and Sales teams, reducing the need for back-and-forth discussions via chat and email.
Additionally, by clearly identifying inactive line items, we can quickly rule out this issue and focus on deeper inspections when other problems arise.
