Employee Changes: Deactivating Users from HubSpot and Removing Assets - HubSpot Admin

Purpose: Outline the process for deactivating employees in HubSpot and ensuring the reassignment of their associated assets. This procedure minimizes data integrity risks, prevents unauthorized system access, and maintains accurate ownership

🌟 Quick Checklist

  • Go to User in HubSpot → Remove Paid Seat and Adjust to a View Seat 

  • Remove Main Team, Any Extra Teams, Presets, and Permission Set 

  • Go to User > Deactivate [Do Not Delete]
  • Remove any unused Meeting Links and Adjust Default to show No Availability

  • If the user is part of a shared inbox, remove them

  • Dashboards: Either Re-Assign and Adjust Filters or Remove Reports & Dash
  • Update Contact on IC Realtime Employee Hub 

    • Opt out of email
    • Update Lifecycle Stage to Inactive Employee
    • Lead Status Removed
    • Removed Content Memberships
    • Remove Dealer Application Link (If Applicable)
    • Remove Association
  • Re-Assign Assets:
    • Open Tasks
    • Open Deals
    • Companies
    • Contacts
