Design Engineer – Tiers 1, 2, and Enterprise Designs
This SOP outlines the responsibilities and steps Design Engineers must follow for both Tiered and Enterprise Design Services from scheduling, to post-consultation through to completion and handoff.

Tiers 1 & 2 Process
Pre- Scheduling & Payment:
- Sales Reps will determine tier based on guidelines and quote the customer
- The Deal Stage will update to Design Payment Pending
- Ops will await payment for the design service
- Once payment is received, Ops will update a field that triggers both:
- The Email to Schedule the Consultation
- Updates the Deal Stage to Design Payment Received
- Customer Schedules Consultation
- Design Engineer receives email with details of meeting
Post - Consultation:
- On the Service Projects Tab of the Deal:
- Update the Meeting Outcome to Completed (or no show, etc.)
- Update Consultation Completed! = Yes
- Update Estimated Completion Date
- Input Estimated Labor Hours (For Leadership - Sales Reps cannot see the value entered)
- Input Invalid Tier? = Yes ONLY if applicable (For leadersihp - to track if we need to re-train Sales Reps on the guidelines) - You will still move forward with whatever tier initially quoted

Post - Design File Completion:
- On the Service Projects Tab of the Deal:
- Update Design Completed! = Yes
- Update Design Completion Date
- Update Design File #1 (2 & 3 if applicable)
- Files will be sent to the Sales Rep and their admin as well as the customer
- After all the properties listed in the steps having known value a workflow will trigger a task to operations to process the design SKU Sales Order and the Deal will go back to Quote Provided Stage
Enterprise Process
Scheduling Consultation:
- Sales Rep will create a Deal, Request Design Support, and Select "Enterprise Design" = Yes
- They will add the files/attachments provided by the customer
- This will trigger the invitation to Schedule the Consultation
- Design Engineer Completes the Consultation
Post - Consultation:
- On the Service Projects Tab Design Engineer will Update:
- Consultation Completed! = Yes
- Invalid Tier (This most likely won't be the case with enterprise but just incase)
- Estimated Labor Hours (For Operations - No Sales Rep View)
- Estimated Completion Date
- Stage will be updated to "Design Payment Pending"
- A Task will trigger to Operations to determine the custom price based with Sales Leadership
- They will Quote and Create an SO for the Enterprise Design Service
- Once Payment is Received, Operations will check "Design Payment Received"
- Ops will also input the "Decided Custom Price" - for Sales Reps to View
- As well as Attaching the PDF of the NetSuite Quote to the Deal
- The steps above will trigger an email to the Design Engineer stating he can begin the Design Files
- The Deal Stage will move to Design Payment Received
Design File Completion:
- On the Service Projects Tab Design Engineer will update:
- Update Design Completed! = Yes
- Update Design Completion Date
- Update Design File #1 (2 & 3 if applicable)
- Files will send to both the Sales Rep and their Admin as well as the customer
- Operations will receive a task to Approve and Bill the original SO for the Design Service
- Deal will move back to quote provided stage once they have completed their task!
Best Practices
✅ Confirm all fields are accurately updated post-consultation ✅
✅ Validate tier at time of consultation (flag Invalid Tier if needed) ✅
✅ Don’t begin design work on Enterprise projects until notified of payment ✅
