Updating/Creating Contacts in HubSpot
Goal: To Ensure Sales Team Members can Successfully Create or Update contact records in HubSpot, while maintaining data accuracy across systems.
When to use this form:
🔄 Update/Change an Existing Contact (Synced from NetSuite)
- Example updates: Phone Number, Email, Job Title
- The HubSpot contact record will be updated.

If it doesn't properly match to the current contact and creates a new record - the CRM Specialist will make adjustments when they begin their task to Audit
- A task is automatically sent to Sales Ops to update the corresponding record in NetSuite.What happens:

➕ Add a New Lead to HubSpot
- Use this option to create a new contact record for a lead that is not in the system yet
- HubSpot will create a Company Record based on the contacts email domain
- If this doesn't happen because it's a gmail: The CRM Specialist will reach out with questions when she gets to her task!
👥 Add a Contact to an Existing Company (Employee of a Company)
- If a contact is missing from a company already in HubSpot, select this option.
- Ensure all necessary information (name, email, role) is included.
🔐 Add a Contact That Needs Portal Access
- Use the form to request contact creation for portal access.
- What happens:
- A task is created for the Sales Executive to reach out to have contact email icare
- The owner must email icare@icrealtime.com granting permission.
- Once permission is received, Operations will add the contact to NetSuite.
- Majority of the Sales Team knows where to make these requests, but these are for the one off situations when it's requested this way.
When you hit Submit:
The contact will be available immediately in HubSpot.
Occasionally, the contact will create a duplicate or not match to a company record.
Don't Panic!! It's still in HubSpot, you'll just have to search for it :)
When the CRM Specialist completes the Reviews the Submission, she will fix any associations, spellings, formatting
This is the intention so if someone is not available you still have access to the contact needed.
If you spelt an email incorrectly, simply re-submit the form for an update
